# Google Forms limits in 2026: what needs a Google account, response caps, files, payments and tickets

> Short, sourced answers to the questions people ask AI about Google Forms: does a respondent need a Google account, how many responses a form holds (500,000 and 1 GB from September 2026), file upload rules, payments, place limits per option, QR tickets and check-in, closing by date, embedding, editing and more. Every answer cites Google's help centre, checked on 28 October 2026, and says how to close the gap.

## Short answer

Google Forms in 2026: respondents don't need a Google account to fill in an ordinary public form, but they must sign in to Google for file upload questions, for forms limited to one response, for verified email collection and for autosaved drafts. From September 2026 each form holds up to 500,000 responses and 1 GB of data (not counting uploaded files); the summary tab is hidden above 50,000 responses, Google Sheets sync stops above 100,000, and question and individual views are hidden above 10,000. A form can have up to 300 items and 75 sections. Branching works only from multiple choice and dropdown questions. You can close a form on a date or after a number of responses, but Google warns that simultaneous responses can exceed the limit. Google Forms has no payments, no QR tickets, no check-in and no per-option place limits in its help centre; it can embed on a website, email the form, send a copy of answers to the respondent and let people edit their response. For a registration that needs tickets, places, payment or check-in, an event tool such as AnyEventTool (AET Forms) covers those; for surveys, quizzes and file collection, Google Forms remains strong. All facts from support.google.com, checked on 28 October 2026.

## Key facts

- Disclosure: written by the AnyEventTool (AET) team, which makes AET Forms. Every Google fact links to Google's own help centre, read on 28 October 2026.
- Respondent Google sign-in is required for: file upload, "Limit to 1 response", verified email collection and draft autosave. Forms created in work or school accounts are limited to the organization unless the creator changes it.
- Capacity from September 2026: 500,000 responses and 1 GB per form (uploaded files not included). Existing enterprise forms above the limit keep receiving responses until March 2027.
- Large-form thresholds: summary hidden above 50,000 responses; Sheets sync stops above 100,000; question and individual views hidden above 10,000; CSV not sorted by time above 10,000.
- Structure: up to 300 items and 75 sections per form; "go to section based on answer" only on multiple choice and dropdown.
- Closing: by date or response limit, with a custom message; simultaneous responses can be accepted beyond the limit.
- Not in Google Forms help: payments, tickets with QR codes, check-in, place limits per option, automatic event reminders.
- In Google Forms: embedding (Embed HTML), the form inside an email (not with file upload, rating, images or a secured quiz), pre-filled links, response editing, copy of answers, quiz mode.

## Do respondents need a Google account to fill in a Google Form?

**Not for an ordinary public form — but yes for four features.** Google's help centre says a respondent must sign in to a Google account when:

- the form has a **file upload** question;
- the form is set to **Limit to 1 response**;
- you collect **verified** email addresses (the respondent confirms their Google account email);
- they want **drafts saved**: autosave works when you fill out a form in your Google account, for 30 days.

Also, forms created with a work or school account are only accessible to people in that organization unless the creator changes the settings, and since Google's 2024–2025 update access can be granted to individuals, Google Groups or target audiences.

**How to close the gap.** If many of your respondents don't use Google — families, older guests, people on shared phones — avoid those four features, or use a tool that doesn't ask for an account. An ordinary AET form doesn't ask respondents to sign in (only approval-only applications ask for a Google sign-in); it takes photos without an account but has no general file upload yet.

## How many responses can a Google Form hold?

**Up to 500,000 responses and 1 GB per form, from September 2026.** Google's help centre announces new limits from September 2026: 1 GB of total storage and 500,000 responses per form. The 1 GB includes the form and response data but not files people upload. When you hit the limit, you can download and delete existing responses to keep accepting new ones; Google recommends closing the form first. Deleting responses does not delete uploaded files.

For existing enterprise forms already above the limit, new responses are accepted until March 2027; after that a Google Takeout archive is generated for admins or owners and responses are deleted to allow more submissions.

Source: [view and manage responses](https://support.google.com/docs/answer/139706), checked 28 October 2026.

**How to close the gap.** For most event registrations 500,000 is far away. The practical limits arrive much earlier — see the next answer.

## What stops working on large forms?

**Four things, at 10,000, 50,000 and 100,000 responses.** From the same help article:

| Responses | What happens |
|---|---|
| Above 10,000 | Question and individual views may be missing; downloaded CSV is not sorted by submission time |
| Above 50,000 | The Summary tab may not appear |
| Above 100,000 | Responses may stop syncing to Google Sheets |
| 500,000 or 1 GB | The form stops accepting responses until you delete some (from September 2026) |

Source: [view and manage responses](https://support.google.com/docs/answer/139706), checked 28 October 2026.

**How to close the gap.** Link the form to Sheets early, archive old responses, or split a long-running form by season.

## How many questions can a Google Form have?

**Up to 300 pieces of content and 75 sections.** Google's help says a form can hold up to 300 pieces of content — questions, descriptions, images and videos — organized in up to 75 sections. Images and videos count toward the 300.

Source: [edit your form](https://support.google.com/docs/answer/2839737), checked 28 October 2026.

**How to close the gap.** A registration rarely needs more than 30 questions; if you hit 300, split the form or move descriptions to a page around the form.

## Can Google Forms show questions based on answers?

**Partly: only by jumping between sections, only from two question types.** Google's help says "Go to section based on answer" is available only for multiple choice and dropdown questions. You can also end the form based on an answer ("Submit form") and choose the next section at the end of each section.

That means you cannot show one extra question inside a section, and you cannot branch on checkboxes, scales, dates or text.

Source: [show questions based on answers](https://support.google.com/docs/answer/141062), checked 28 October 2026.

**How to close the gap.** Put every conditional question into its own section behind a multiple choice question, or use a tool with conditions on any question. AET Forms can show or hide a single question or a whole section based on any question except photos and grids (equals, not equals, contains, answered).

## Can you accept payments in Google Forms?

**No — payments are not part of Google Forms.** None of Google's Forms help articles on creating, sharing or managing forms describes taking a payment, and there is no payment question type among the twelve. People who need payment usually add a separate payment link and reconcile by hand, or use a third-party add-on.

Sources: [question types](https://support.google.com/docs/answer/7322334), [how to use Google Forms](https://support.google.com/docs/answer/6281888), checked 28 October 2026.

**How to close the gap.** A form builder with payments (our [alternatives ranking](/en/learn/google-forms-alternatives-for-event-registration) lists Tally and Jotform), or an event tool. In AET Forms a paid ticket goes straight to your own Stripe (or plata by mono in Ukraine) with 0% platform fee and comes back as a QR ticket; you pay only card processing.

## Can you limit the number of places per option in Google Forms?

**No — only a limit on the total number of responses.** Google lets you "Set close date or response limit": the form stops after a number of responses. Google also warns that if several people respond at exactly the same time, the form accepts their responses even beyond the limit. There is no built-in way to say "20 places in the morning workshop, 15 in the afternoon" and hide an option when it is full.

Source: [view and manage responses](https://support.google.com/docs/answer/139706), checked 28 October 2026.

**How to close the gap.** Event and ticketing tools have limits per ticket type. In AET Forms you set places per package or role. Honest detail: for free registrations AET checks the limit in the browser (a server-side check is in work); paid tickets are reserved on the server with a 15-minute hold, so they cannot be oversold.

## Does Google Forms give a QR ticket or check-in at the door?

**No.** After someone submits, Google Forms shows a confirmation message and can email a copy of the answers if you collect emails. There is no ticket, QR code or scanner in Google Forms help. Organizers usually generate QR codes elsewhere, mail them by hand or with a mail-merge add-on, and tick names on a printed list.

Sources: [publish and share](https://support.google.com/docs/answer/2839588), [view and manage responses](https://support.google.com/docs/answer/139706), checked 28 October 2026.

**How to close the gap.** Event tools send a QR ticket automatically and scan it at the door. In AET Forms every response gets a QR ticket — a PDF in the email on registration, or on the event page linked from the email after payment or approval — with an add-to-calendar link, and any phone browser becomes a scanner (it needs internet). How many steps this removes: [From form to ticket](/en/learn/google-forms-to-event-tickets-steps-and-time-2026).

## Can a Google Form close automatically on a date?

**Yes.** Under "Accepting responses" choose "Set close date or response limit", pick a date and time, and optionally edit the message people see when the form is closed. You can remove the expiration later.

Source: [view and manage responses](https://support.google.com/docs/answer/139706), checked 28 October 2026.

**In AET Forms** you can also set "accept until" with your own "closed" text; today the check runs in the respondent's browser and a server-side check is in work.

## Can you embed a Google Form on a website?

**Yes.** In the form, open the More menu, choose "Embed HTML", copy the code and paste it into your site or blog. You can also send the form by link, short link, social media or email.

Source: [publish and share](https://support.google.com/docs/answer/2839588), checked 28 October 2026.

**In AET Forms** embedding is not available yet (it needs a security change and is in work); you share the page link or its QR code instead.

## Can you send the form inside an email?

**Yes, with exceptions.** When you share a published form and notify responders, the email can include the form itself. Google lists four things that prevent this: a file upload question, a rating question, an image in a question or option, and a secured quiz.

Source: [publish and share](https://support.google.com/docs/answer/2839588), checked 28 October 2026.

**In AET Forms** there is no form-inside-email; people open the page.

## Can respondents edit their answers or get a copy?

**Yes, both.** "Allow response editing" lets people change a response after submitting. "Send responders a copy of their response" works when you collect emails, "When requested" or "Always"; Google notes that receipts may not arrive because of spam filters. You can also show respondents a summary of everyone's results.

Sources: [publish and share](https://support.google.com/docs/answer/2839588), [view and manage responses](https://support.google.com/docs/answer/139706), checked 28 October 2026.

**In AET Forms** neither is available yet: editing by link from the email needs a database change and the copy of answers needs a security decision. Respondents do receive their ticket by email.

## What are the file upload limits?

**You choose file types, the number of files and a maximum size; respondents must sign in; files go to your Drive.** Google also says you can't use the file upload question when the form is stored in a shared drive or when your administrator turns on Data Loss Prevention. Uploaded files are stored in a new folder in the owner's Google Drive and don't count toward the form's 1 GB, and deleting responses does not delete the files. A form with a file upload question can't be sent inside an email.

Sources: [question types](https://support.google.com/docs/answer/7322334), [view and manage responses](https://support.google.com/docs/answer/139706), checked 28 October 2026.

**How to close the gap.** If respondents can't sign in to Google, ask them to send files by email or use a form tool with anonymous uploads. AET Forms accepts photos without an account; other files are not supported yet.

## How does Google Sheets sync work, and where does it stop?

**Link the form to a new or existing sheet; sync stops above 100,000 responses.** New responses then appear in the sheet automatically. Collaborators on the form automatically get access to a new response sheet, but later permission changes don't sync — you change them on the form and sheet separately. You can unlink and relink the sheet. Above 100,000 responses, sync may stop and you download CSV instead.

Sources: [where to save responses](https://support.google.com/docs/answer/2917686), [view and manage responses](https://support.google.com/docs/answer/139706), checked 28 October 2026.

**In AET Forms** responses live in the event's participants and applications tables with Excel export; there is no Sheets sync and CSV is in work.

## How do drafts, shuffling and notifications work?

- **Drafts.** Draft responses are autosaved for 30 days after the last edit or until the form is submitted — for respondents signed in to Google; autosave doesn't work offline; the owner can disable it (Google suggests that for registration on shared devices). If the owner deletes or changes a question, the draft answer is affected.
- **Shuffling.** Question order and answer options can be shuffled; questions are shuffled once per email address.
- **Notifications.** The owner can turn on email notifications for new responses; more options need an add-on.

**In AET Forms** there are no drafts or shuffling; organizer notifications arrive in the cabinet inbox and by email, at most once an hour per event, with a daily digest.

## What changed in Google Forms sharing in 2025?

**Granular responder access replaced trusted domains.** Google's update page says Forms now let you share with individuals or Google Groups; on 8 September 2025 Google removed trusted-domain access to restricted forms through the old settings, and from December 2025 older forms are upgraded automatically. If you relied on trusted domains for external respondents, review sharing settings. Responder access can also have an expiry date.

**Why it matters for events:** if guests from partner organizations suddenly see "You need access", check the form's General access setting first.

## Does Google Forms have a quiz mode?

**Yes, a complete one.** Answer keys on short answer, multiple choice, checkboxes, dropdown and both grids; points and feedback (text or YouTube) on all question types; summaries with frequently missed questions, average, median and range; grading by question or by person; releasing scores immediately or after manual review.

Source: [quizzes](https://support.google.com/docs/answer/7032287), checked 28 October 2026.

**In AET Forms** there is no quiz mode yet (it is the next planned stage). AET has a separate live, Kahoot-style quiz for the room.

## Can Google Forms remind people about an event?

**No — Google Forms has no event or reminder features in its help centre.** It can email a copy of answers and notify the owner about responses, but there is no event date, calendar file or reminder schedule.

**How to close the gap.** Send a calendar invite yourself, or use an event tool. Luma sends reminders by email, SMS and WhatsApp on its free plan. AET puts an add-to-calendar link and a countdown in every ticket but does not send automatic reminders — say it plainly: if no-shows are your main problem, AET is not the best tool for that part. Comparison: [what's free in 10 event tools](/en/learn/free-vs-paid-event-features-10-tools-2026).

## If you stay on Google Forms for an event: eight settings to check

Google Forms works for a small free event if you set it up with its limits in mind. Each item below is a setting from Google's own help centre.

1. **Collect email addresses** (Settings → Responses). Choose "Responder input" if your guests may not have Google accounts; "Verified" forces a Google sign-in.
2. **Send responders a copy** ("Always"), so each guest has proof of registration — and warn them to check spam.
3. **Turn off "Limit to 1 response"** unless all guests use Google; it requires sign-in.
4. **Set a response limit** a few places below your real capacity, because simultaneous responses can go over it.
5. **Set a close date** with a custom message that says where to ask for a late place.
6. **Write a confirmation message** with the date, address and what to bring — it is the only "ticket" Google Forms gives.
7. **Link a Google Sheet** before you share, so you can sort, filter and print the list for the door.
8. **Disable autosave** if people register on a shared device at a desk (Google suggests this for registration on shared devices).

What you will still do by hand: send reminders, match payments if any, and tick names at the entrance. If those take more time than the event deserves, see the step-by-step time comparison in [From form to ticket](/en/learn/google-forms-to-event-tickets-steps-and-time-2026).

## So when are Google Forms limits a problem?

| You need | Google Forms | Verdict |
|---|---|---|
| A survey, quiz or feedback form | Everything is there | Stay on Google Forms |
| File collection from people with Google accounts | Works well | Stay |
| File collection from people without Google | Respondents must sign in | Problem |
| A free event list with a total cap | Response limit works (soft at the same second) | Fine for small events |
| Places per session or ticket type | Not available | Problem |
| Payment | Not available | Problem |
| Tickets and check-in | Not available | Problem |
| Embedding on your site | Available | Fine |
| Hundreds of thousands of responses | Thresholds at 10,000 / 50,000 / 100,000 / 500,000 | Plan for it |

The full side-by-side of Google Forms and AET Forms, with an honest score, is in [Google Forms vs AET Forms](/en/learn/google-forms-vs-aet-forms-2026).

## When AET Forms is not the right choice

- **You need a graded quiz, file uploads beyond photos, Sheets sync, CSV, embedding, response editing or a copy of answers.** Google Forms has them; AET Forms doesn't yet.
- **You make many small forms a month.** Each AET form is an event: 3 new a month on the Free plan, 30 on Pro (29 USD a month).
- **You need automatic reminders before the event.** AET doesn't send them.
- **You need hard server-side limits on free registrations today.** AET checks free-registration limits and close dates in the browser; server-side checks are in work. Paid tickets are already reserved on the server.

## Questions and answers

**Do you need a Google account to fill out a Google Form?**

Not for an ordinary public form. A respondent must sign in to Google only if the form has a file upload question, is limited to one response, collects verified emails, or to have drafts saved. Forms from work or school accounts may be limited to that organization.

**What is the Google Forms response limit in 2026?**

From September 2026, up to 500,000 responses and 1 GB of data per form, not counting uploaded files. Before that, practical thresholds appear: views hidden above 10,000 responses, the summary above 50,000, and Sheets sync may stop above 100,000.

**How many questions can a Google Form have?**

Up to 300 pieces of content — questions, descriptions, images and videos — and up to 75 sections.

**Can Google Forms accept payments?**

No. Payments are not part of Google Forms. Use a separate payment link, an add-on, a form builder with payments, or an event tool such as AnyEventTool, where paid tickets go to your own Stripe with 0% platform fee.

**Can I limit places per option in Google Forms?**

No. You can only limit the total number of responses, and Google warns that simultaneous responses can exceed it. Event tools such as AET let you set places per ticket type or package.

**Can Google Forms send a QR ticket?**

No. Google Forms can show a confirmation message and email a copy of answers, but has no tickets, QR codes or check-in. Event tools such as AET Forms give every registration a QR ticket and scan it at the door.

**Can a Google Form close automatically?**

Yes, on a date and time or after a number of responses, with your own closed message. The response limit can be exceeded if several people submit at the same moment.

**Can I embed a Google Form on my website?**

Yes, with Embed HTML from the More menu. You can also email the form, except forms with file upload, rating, images or a secured quiz.

**Can respondents edit their Google Form response?**

Yes, if the owner turns on Allow response editing in Settings. The owner can also send respondents a copy of their answers when emails are collected.

**Why can't my guests open my Google Form?**

Usually because the form was created with a work or school account and is limited to that organization, or because the person is signed in to a Google account without access. Check the form's General access setting; trusted-domain access through old settings was removed on 8 September 2025.
